Booking Deposit Policy for Hong Kong Businesses: FPS and PayMe Guide

Create a clear booking deposit policy with an appropriate amount, a 15-minute slot hold, customer-submitted transfer references, staff checks and fair rescheduling terms.

Warm illustrated four-stage booking deposit process: Hold 15 min, Pay and submit reference, Staff verify, Confirmed.

A useful booking deposit policy tells customers how much to pay, how long the slot is held, when the booking becomes confirmed and what happens if plans change. For FPS or PayMe, the business should also state that staff will check the transfer before accepting the booking.

A customer may book a long appointment and then fail to arrive or reply on WhatsApp. By then it is usually too late to fill the slot, and the team member, room and equipment have all been reserved. A modest deposit can help customers pause and confirm their plans before the business commits that capacity; its purpose is to make the booking, payment and rescheduling rules clear to both sides.

Will a deposit put customers off?

Customers are more likely to accept a deposit when three things are obvious:

  1. It is part of the bill. State that the deposit will be deducted from the amount due on the service day.
  2. The amount is proportionate. A short, lower-value appointment should not automatically carry the same deposit as a multi-hour service that reserves a room and specialist.
  3. The rules are visible before payment. Show the cancellation, rescheduling, late-arrival and severe-weather arrangements before the customer commits.

Use plain language. “HK$100 to reserve this time, deducted from your final bill” is easier to understand than a paragraph of legal-style wording.

Choose an amount that fits the appointment

There is no single correct deposit for every business. The examples below are starting points only:

Example serviceIllustrative priceIllustrative depositReasoning
Basic nail or lash serviceHK$300–HK$500HK$100A modest commitment for a shorter slot
Complex nail art, colour or permHK$800–HK$1,500HK$200–HK$300A longer appointment that is difficult to refill
Facial or spa treatmentHK$600–HK$1,200HK$200A room and named practitioner may be reserved
Initial physio or fitness assessmentHK$800–HK$1,300HK$300 or another amount set by the practiceSpecialist time and equipment may be held

Check the amount against your actual price list, customer expectations and refund policy. The Nail and Lash Studio Guide and Physio and Personal Training Booking Guide show how deposits fit into different workflows.

A clear FPS or PayMe workflow

The difficult part of a bank transfer is not displaying a payment address. It is matching the money to the right customer and time without leaving the slot in limbo.

With Kalendars, the flow is:

  1. The customer chooses a service, time and eligible team member on the booking page.
  2. If the business requires an FPS or PayMe deposit, the page displays the amount and the business’s own FPS ID, phone number or PayMe link.
  3. The selected slot is temporarily held for 15 minutes.
  4. The customer pays in their banking or PayMe app, then submits the transfer reference in the booking flow. A receipt can also be provided when needed.
  5. A staff member checks the business account and matches the payment reference.
  6. Staff accept the booking when the transfer is verified. If it cannot be matched, staff reject it or contact the customer according to the business process.

The payment is not collected or automatically verified by Kalendars. It goes directly to the business’s own account, and staff make the confirmation decision.

Assign deposit checks to a named person or shift. If everyone assumes somebody else is checking, customers can remain unsure whether their booking is confirmed.

Keep the booking, submitted reference, staff verification state and any rescheduling decision together according to the business's own recordkeeping process. That gives staff a clear history if a customer asks what happened.

Sample deposit and rescheduling policy

Adapt this example to your services and have the final wording reviewed for your business where necessary:

Booking deposit and rescheduling policy

  1. A HK$100 deposit is required to reserve the appointment. It will be deducted in full from the final bill on the service day.
  2. To reschedule, please WhatsApp us at least 24 hours before the appointment. The deposit may be carried forward once to an appointment completed within 30 days.
  3. A cancellation within 24 hours or a no-show may result in the deposit being retained because the team member and time were reserved.
  4. If you arrive more than 15 minutes late, we may need to shorten or reschedule the service to protect the next customer’s time.
  5. When a Typhoon Signal No. 8 or Black Rainstorm Warning affects opening, the business will offer the rescheduling or refund arrangement stated in its severe-weather policy.

Replace the figures and deadlines with rules your team can apply consistently. Do not promise a refund method your payment process cannot support.

Follow up in WhatsApp without implying automation

After staff have checked the deposit, send a confirmation that includes the date, time, address and rescheduling deadline. Before the appointment, staff can send a reminder early enough for the policy to remain useful.

Kalendars can prepare a WhatsApp confirmation or reminder from the booking details. A staff member reviews it, opens it in WhatsApp, sends it and marks it as sent. It is not an automatic WhatsApp delivery service.

The 10 WhatsApp Booking Message Templates include wording for the temporary hold, verified payment, reminders and weather changes.

Common mistakes to avoid

  • Treating a payment reference as proof on its own. Staff still need to check the business account.
  • Holding a slot indefinitely. Tell customers about the 15-minute hold before they leave the booking page.
  • Hiding the cancellation terms. The policy should appear before payment, not only after a dispute.
  • Using one amount without looking at service length. Review deposits when the price list or service mix changes.
  • Sending reminders after the free rescheduling deadline. Time the reminder so the customer can still act.

Frequently asked questions

What should a booking deposit policy include?

State the amount, how it is applied to the final bill, the payment deadline, when the booking becomes confirmed, and the rules for cancellation, rescheduling, late arrival and severe weather. Use terms that the team can apply consistently.

Does Kalendars receive the customer’s deposit?

No. The customer pays the business’s own FPS or PayMe destination. Staff check the business account and accept the booking after matching the transfer.

Is the booking confirmed as soon as the customer submits a reference?

No. Submission lets staff know what to look for. The booking is confirmed only after a staff member verifies the transfer and accepts it.

How long is the slot held during payment?

The deposit workflow holds the selected time for 15 minutes while the customer completes payment and submits the reference.

Make the deposit part of one consistent process

A useful deposit policy tells customers how the slot is held, where the money goes, who checks it and what happens when plans change. Combining a proportionate amount, visible terms, staff verification and careful WhatsApp follow-up makes the process easier for customers and the team to understand.
